Improving our email handling

We send thousands of emails every day. All of these are sent using the from address <account>@shfitplanner.org. This helps prevent our emails from ending up in spam folders.

Each email also includes a reply-to address. Replies are sent there. By default, this is the general email address, which can be configured via:
Administration → Settings → General settings → Contact details tab → Email address.
In some cases, a user’s personal email address is used.

Not all email clients respect the reply-to address and may send replies to the from address instead. In addition, emails are sometimes sent to non-existing addresses. This results in so-called bounces.

These bounces are received by <account>@inzetrooster.nl or, in some cases, by a user. Due to the Sender Policy Framework (SPF), we are not officially allowed to forward these emails. We did this in the past, but it negatively affected the reputation of our mail servers.

Therefore, as of this week, we no longer forward these emails. Instead, an automatic bounce message is generated. This message explains that the email should be sent to the account’s general email address. For clarity, we also explicitly include that email address in the bounce message.

With this change, we expect our emails to be less likely to end up in spam folders and our mail server reputation to improve.
